Review spending and manage shared funding

Choose spending accounts, import and review GBP transactions, create categories inline, link costs to assets or recorded loan payments, and manage effective-dated household contribution plans. AI suggestions require account-level consent and never confirm financial classifications automatically.

Choose accounts

Open Cashflow → Spending → Accounts & AI. Include the GBP bank or credit-card accounts you want to review. Personal/joint and company accounts have separate reporting scopes. Choosing a person includes their own accounts, not an assumed share of joint spending.

Connections are managed centrally in Assets. Spending shows the connection status, last sync and latest transaction date. A successful sync is not proof of complete history. If records are missing or stale, reconnect through Assets or upload a statement. Turning inclusion off does not disconnect a bank or erase decisions.

Import or add transactions

Use Import statement for the shared AI document reader, including PDF, images, CSV and Excel. Review a worksheet when prompted. Documents are temporarily sent to Perplexity for extraction, not retained as financial attachments.

Choose the correct account, inspect warnings and the signed amounts, select rows, and confirm that you checked them. Money received is positive; purchases and other payments out are negative. Only explicitly identified GBP documents can be applied. Imports add transactions for review, not bank balances or financial repayments. Pending authorisations, balances and statement totals must not be imported as payments.

Repeat imports conservatively check the account, date, direction and amount, even when a bank feed and statement use different descriptions. Potential duplicates are skipped and reported. Identical legitimate same-day payments can require checking against the statement; do not assume every skipped row is a duplicate. Add transaction provides a manual alternative with the same duplicate checks. If a legitimate separate payment is blocked, the manual panel offers a reviewed single-transaction override with a required explanation. Repeating that same save after a lost response reuses its command identifier rather than posting twice.

Review and categorise

The Review tab groups transactions by account, supplier, direction and suggestion. Open a group, inspect its rows, and confirm one classification for those rows only. Open an individual row when amounts have different purposes. Nothing is confirmed merely because AI recognises a supplier.

Categories use autocomplete. Type your own category and save; matching is case-insensitive and extra spaces are normalised. No separate category-management screen or per-transaction rule configuration is needed.

Use AI suggestions for this account is independent of including the account. When enabled, reviewed choices, account-local descriptions, merchants, directions and amounts provide context for future suggestions. Classification starts when Spending is opened/refreshed, in batches of up to 50; Suggest next batch retries or continues. Unknown or unusual transactions remain reviewable. Disable AI to stop future processing for that account. Existing decisions and suggestions remain.

Money movements and linked items

Spending totals include confirmed purchases less refunds and the interest/fees from a linked recorded loan payment. Income, returned capital, shared funding, transfers, savings and loan principal are not spending.

Link an optional asset to group its costs in Breakdown. Personal and company transactions cannot be linked across entities. In Assets, open Value, income & costs → Income & costs to see associated activity and return to its source.

For a loan repayment, first record it in Loans payable. Then select the existing payment with the same date, amount and entity. Its capital/interest split is authoritative; matching never posts a second payment. A recorded payment can be linked only once. Source Income/Dividend matches are protected: correct them in their own manager before changing the Spending classification.

Search, correct and inspect

Transactions can be filtered by account, owner scope, date range, direction, category, status, asset, minimum amount and text search. Search includes supplier, description, reference, amount and identified contributor.

Select visible rows for bulk reclassification. A conflicting or invalid row causes the whole change to fail, rather than leaving a partial update. Changing confirmed items requires a reason. View decision history → Review previous classification prefills a correction for review; it does not silently undo later activity. Dates, amounts and source records are not changed by classification.

Category and supplier breakdowns sort by highest confirmed amount first. Choose a row to drill into the underlying transactions. Use Load 20 more for longer lists. Tables scroll horizontally on small screens; actions remain accessible.

Shared funding plans

Create a named plan, select its receiving bank account(s) and any included cards, then select contributors and enter their monthly amounts. Multiple plans are supported. An account cannot belong to two plans, including historical plan scope. Household plans do not include company accounts.

Plan amendments start in a future month after existing versions. Historic commitments remain intact. Contributions and top-ups are identified from reviewed incoming transactions, with an explicit person and optional counterparty account. Transfers between accounts in the same plan do not count as contributions.

Select a month in Monthly funding history to filter the contribution entries and person totals. Extra top-ups are shown separately and do not hide a missed regular commitment. Unidentified contributors remain visible for review.

Suggested monthly commitments

Verify complete statement coverage under Accounts & AI. Funding recommendations use only closed, fully covered, reviewed months whose accounts remain included. Partial date-range months, unreviewed transactions and unidentified contributions are excluded. A missing month is not treated as zero spending.

The calculation uses the last three or six eligible months' cash requirements: spending, refunds and full loan payments. Where both a card and paying bank are in the plan, purchases replace card settlements; otherwise identified card settlements are part of the required bank cash.

Optionally exclude one-off costs and linked refunds, add a safety buffer and add an annual reserve only for costs not already represented in history. Historic top-ups are displayed for context, not added again to spending. Suggested payments are apportioned from the current monthly commitments with penny-safe rounding. Review and save a future plan version to adopt them. No standing orders are changed and no contributor messages are sent.

Reporting limits

This release reports GBP accounts only. It does not silently mix currencies. A request exceeding 20,000 transactions asks for a shorter date range instead of showing truncated totals. Up to two years can be requested at once. Loan-payment selection exposes the latest 2,000 source entries. Corrections that need unavailable source history should be made in the source manager. Cashflow combines confirmed Income and Spending. Asset associations appear in the asset's activity panel without posting another transaction.
